The Board Secretary's Role and Responsibilities
- Role Responsibilities are subject to change
- Attends board meetings;
- Is responsible for recording, transcribing, filing and distributing minutes of all board meetings;
- Is responsible for transcribing, filing, and distributing minutes from all other meetings;
- Is responsible for maintaining the content of the website up to date;
- Is responsible for sending and retrieving The Society’s physical mail;
- Is responsible for filing and organising all documents associated with the society (meeting minutes, meeting agendas, resolutions, topics, etc.);
- Sign all cheques / processes all online transactions as secondary signatory;
- Receives all emails directed at The Society and can elect to either reply directly or forward to another board member;
- Can vote during board meetings;
- Makes sure that all materials (documents, ballots, etc.) are prepared and available for the meetings;
- Is responsible for reviewing and formatting any documents to be published by The Society;
- Is responsible for creating forms, circulars, posters and signs for any Society event;
- Is to act as the main administrative person for events such as expos and auctions (admission, floor layout, etc.);
- Provide support to other board members as needed;
- Acts as moderator on social media;
- Act as board meeting chair on a rotational basis with the other board members (chairs 1 out every 5 meetings of The Board).
